Terms and conditions

3 September 2026

This text is being reviewed by a lawyer. It describes how EventSnap works and how we handle your data, but no rights can be derived from it until the final version is here.

These terms cover everything you do with EventSnap: creating an event, trying it for free, paying for it, publishing, and the photos you and your guests upload. You agree to them the moment you create an event, whether that is a free trial or a paid package.

1. Who we are

EventSnap is a service of Tactyx B.V. i.o., a subsidiary of R. Holding B.V. and Yanoli Holding B.V., operated for now by Yanoli Consultancy B.V., registered with the Dutch Chamber of Commerce under number 90540867. Where it says "we" below, that is the company we mean.

You can reach us at hi@eventsnap.nl. We answer a question or a complaint within five working days.

These terms also apply to your guests, as far as they use an event's guest page.

2. The words we use

  • Organiser: you, the one who creates and manages an event, whether you bought a package or are trying it for free.
  • Event: the page where the photos of one party come together, with its own link and QR code.
  • Album: a collection inside an event. An album can be open or closed; a closed album stays blurred for guests until you open it.
  • Guest: anyone who opens the page with your invite link. No account, no app.
  • Active period: the days your paid event can be viewed by guests and receive photos. With a free trial it is called the trial period, and that one starts when you create the event.
  • Content: all photos, videos, captions, names and text that you or your guests upload.

3. Your account and your invite link

You need an account to manage an event. Your guests don't: they open the link or scan the QR code.

You sign in with a password or with a sign-in link we mail you. So whoever can reach that mailbox can reach your event. Secure it as if it were the account itself. If you suspect someone else has been in, mail hi@eventsnap.nl and we will revoke your sessions.

You may share your invite link with whoever you like. But everyone who has the link can view your published event and contribute to it. That is the point, and at the same time the limit of the security: the link is the key.

Ask for a free trial and we create the account the moment you fill in your address: the code has to go somewhere. Never use that code and we delete the empty account after seven days. A password is not required; you can also sign in with a code or a sign-in link.

4. Ordering and paying

  • You pay once per event. There is no subscription and nothing ever renews automatically.
  • The price on the pricing page is the price. Each plan states whether that price includes or excludes VAT; on the invoice, VAT is always listed separately.
  • Payment runs through Stripe. We never see your card or account details: Stripe processes the payment and issues the invoice, which we mail to you.
  • Pick a package straight away and your event is a concept until your payment arrives. You can set everything up: name, colours, texts and albums. Publishing and uploading cannot happen yet. With a free trial they can, see the next chapter.
  • A discount code works at checkout and not afterwards, and only while the code runs and on the plans it was meant for.
  • Prices can change. That changes nothing about an event you have already paid for.

5. The free trial

You can try an event for free. It is a real event: you can publish it, your guests can reach it and photos can go in. We ask for no payment details.

You fill in your email address and get a six-digit code. Only once that code is right do your account and your event exist. Do not type it and we have created nothing.

Your trial clock starts the moment you create the event, not when you publish. What a trial gives you (how many contributions fit, how much storage you have and how many days it runs) is on the site; we can change those limits, and what it says when you start is what you get.

  • Publishing a free event needs a confirmed email address. A paid event does not.
  • You get one free trial per account, once, also if you delete the trial event afterwards.
  • Nothing is charged and nothing renews by itself. The trial simply ends.
  • Pick a package and everything stays: the same link, the same QR cards, the same photos and the same settings.
  • We mail you before your trial ends, seven days and one day ahead, and also when your album is nearly full.
  • The trial is an offer, not a right. We can change it or stop it for new events; a trial that is already running is not affected.

6. The active period

Your active period starts at your first publication, not at your payment. So you can set everything up and publish the day before your event. If your page was already online during a free trial, your package term starts on the day you pay: the days of your trial are not taken off it. How long the period runs depends on your package and is stated with it on the site.

You can take the event offline at any time and it works instantly: your guests lose access at that moment. The clock keeps running in the meantime, and republishing does not move your end date.

Once the period is over, your event goes into archive mode. Guests can no longer see or add anything, and nothing more can come in. What is there stays yours: you can download the full archive, clear photos out, edit captions and set the order. With a free trial you can request that zip while the trial runs; once it is over you can still save your photos one by one, but not request the zip. Pick a package after all and it works again.

7. Our photo guarantee

If your event ends up with fewer than ten photos from guests, you get your money back. We count a week after the date of your party; if there are fewer, we mail you. You don't have to chase it.

Photos you upload yourself as the organiser don't count. You keep what's there: we make sure you can download everything that is.

  • The guarantee applies per event, once.
  • The event must have been published. An event that never went live could not receive photos.
  • We refund the same way you paid, within fourteen days of our mail.
  • The guarantee belongs to a paid package. A free trial is not covered, because nothing has been paid.

8. Right of withdrawal

If you are a consumer and you have paid, you have fourteen days to change your mind, counted from your order. Within that period you may cancel without giving a reason; one mail to hi@eventsnap.nl is enough and you get the full amount back.

Your cooling-off period runs until you have really used the service, which is the same moment your photo guarantee ends: as soon as there are ten or more guest photos in your album. Until then you can cancel, even if you have already published. After that the service has been delivered, because your album has done what you bought it for.

A free trial is not an order. Nothing has been paid, so there is no cooling-off period. Pick a package later and your fourteen days start then, under the same rules.

If you buy as a business, there is no statutory cooling-off period.

9. What you take care of as the organiser

The party is yours and so is the page. You decide who gets the link, which albums are open, and what stays up.

Tell your guests that you are collecting photos and where those end up. Make sure you are allowed to collect and share them: think of image rights, of guests who would rather not appear, and of children in the frame. If a guest or someone in a photo asks you to take something down, it is up to you to do it. You can delete any photo on your event.

Two switches help you there: turn moderation on if you want to see every guest photo yourself before it reaches the page, and turn the guest gallery off if guests should only see their own uploads.

For the content on your event you are the data controller under the GDPR and we are the processor. We only process it to deliver the service and on your instructions; our privacy statement sets out what that means.

10. What is not allowed

An event is no place for:

  • content you do not hold the rights to;
  • images of people who clearly do not agree to them, or images taken somewhere they should not have been taken;
  • sexual material of or involving minors; we always report this to the authorities;
  • hate speech, threats, harassment or bullying;
  • anything unlawful, or anything you use to harm someone else;
  • attempts to get around our security, our limits or the paywall, or to load the service with automated traffic.

11. What we may do

We do not look through your photos. If we receive a report, we can take content down or close an event.

For a serious or repeated breach we can close your account. We always explain why, and where we can we first give you the chance to fix it yourself. If we close an event because you broke these rules, there is no right to a refund.

The free trial is an offer we can change or stop. If we see somebody starting one trial after another with new email addresses, we may close those events.

12. Who the content belongs to

You and your guests. We never become the owner of any of it.

To be able to deliver the service you give us a limited licence: to store it, resize it into thumbnails, convert it where a browser needs that, and show it to everyone you give access to. Nothing more, and no longer than your content is with us.

We never use your photos for advertising and we do not train models on them. If we ever want to show a photo from a real party, we ask you first and each time.

The name EventSnap, the mark and the design of the site are ours.

13. Availability

We do our best to keep the service running, but we do not promise uninterrupted availability. We announce planned maintenance.

EventSnap is not a backup. Download your event's archive while it is there, especially if it is your only copy.

Features can change. If we remove something your plan relies on, we tell you and we find a solution.

14. Deleting and keeping

  • A deleted photo goes to the bin and stays there for fourteen days. After that it is gone for good.
  • Delete a whole event yourself and it is gone for your guests at once and kept for fourteen days. In those two weeks you can restore it, and we prepare a download with everything that was in it. After that we delete the event, the photos and the archive for good.
  • Deleting your account works on the same fourteen-day window.
  • Gone for good means gone for good: we cannot bring it back.
  • We keep invoices and payment records longer, because tax law requires it. The privacy statement says exactly how long.
  • If a free trial ends without you picking a package, your event locks: your guests can no longer reach it and nothing more can be added. It stays for another week, so you can still pick a package and get everything back.
  • Pick nothing and the event then enters the ordinary deletion path: fourteen days to restore it, after that gone for good. That automatic deletion prepares no download, so save your photos while your trial runs.

15. Liability

If something goes wrong through a mistake on our side, we are liable for the direct damage that follows from it, up to the amount you paid for the event in question. With a free trial that amount is zero.

  • We are not liable for the loss of content you kept no copy of yourself.
  • We are not liable for what guests upload, or for what they do with what they see on your event.
  • We are not liable for moments that went unrecorded because a phone, a network or a browser let you down.
  • Consequential loss, such as lost profit or missed revenue, falls outside our liability.
  • These limits do not apply in case of intent or deliberate recklessness on our side, and not to the extent the law does not allow them.

16. Changes to these terms

We can amend these terms; the date at the top says when that last happened. We mail you about a material change.

For an event you have already paid for, the terms as they were when you ordered apply, unless a change is in your favour or the law requires otherwise. A running free trial is covered by the version that stands today; buy a package and the terms of that moment apply from then on.

17. Complaints and applicable law

A complaint is always welcome at hi@eventsnap.nl. We answer within five working days and would much rather solve it together.

Dutch law applies to these terms. If we cannot work it out together, we bring the dispute before the competent court in [to be filled in: district]. If you are a consumer, you may also bring it before the court where you live.
